How It Works
Starting services at Lyndsey Stevenato Children’s Therapy Services may seem like an overwhelming task at first, but our passionate team members are here to help. From your initial intake over the phone, to your one-on-one therapy sessions, our team is here to ensure that you are aware of the therapy process and involved in the therapy process. We believe that a child’s success is dependent on their family’s involvement and commitment to the support plan created by the child’s therapist. We strive to make the process clear, involve the families and incorporate the family goals, and ultimately see children reach their full potential!
Our
Process
Intake
It begins with a conversation. You may know what services you are looking for or may want to talk that through with someone who can guide you. Coming into our clinic begins with a call or email to our Administration staff to schedule your first appointment with a therapist. This first appointment may be a consultation where we collect relevant history and the details related to your most pressing concerns. The first appointment may also involve an assessment, where we are using standardized testing to inform next steps and recommendations.
Support Plan Development
Following the consultation/assessment appointment, the therapist will use the information gathered, and with the parent/caregiver’s input, build a mutually agreed upon support plan. This may include goals for individual therapy sessions, further additional assessments, and guiding recommendations.
Therapy Sessions
Therapy sessions include the therapist, the child and the parent/caregiver. Parent/Caregivers are encouraged to join in their child’s therapy sessions to observe the progress their child has made, to understand the activities and the desired outcome, and to learn how what happens in the therapy session can translate to the home setting. These sessions are also important in building rapport between your child, yourself and the therapist, as this is how we get to know you better and shape our sessions to meet your child’s individual needs.
Review and Next Steps
Once several therapy sessions have taken place, and the child has met their goals as laid out in their support plan, your therapist will meet with you to discuss next steps. This time of reassessment is an opportunity to celebrate the gains that have happened through therapy and determine what next steps are recommended to take place. This may include adjusting the support plan and carrying on with therapy sessions, or perhaps referring to an additional discipline to assist in reaching some new objectives, or celebrating the end of therapy sessions and your child reaching their goals!
How to prepare your child for therapy
It is time well spent to prepare your child for their first and subsequent therapy sessions. Most importantly we want children to know that coming to therapy is FUN!!
We encourage caregivers to use Social Stories to prepare for these appointments.
A few days before the appointment at our clinic we would encourage you to use a calendar; share the appointment date and time. Let your child know, for example, “We are going to see Mary on this day. You are going to play games and you are going to have fun!” Try to use the same language each time you talk about going to the clinic as this will build familiarity for your child.
Additionally, you can show your child their therapist’s photo on our website, and describe what the clinic looks like (“they have a gym, games and lots of toys!“)
Reassure your child that you will walk in with them and will go together to see the room they will be playing in. Caregivers are also welcome to join for part or all of the session, or may stay in the waiting room until the session is complete.

What are Progress Reports
Providing ongoing updates on how your child is doing in therapy, is an important communication opportunity for us. Our progress reports are regularly verbal, and you will find our therapy staff providing small reports on a child’s activity and progress following each session. We also take this opportunity to celebrate all the gains the child is making, as sometimes movement towards a goal can seem stalled when in fact there are many positive things going on. Periodically we will highlight the goals that the child is working towards, to make sure these are still a priority. When needed we will change the goals or make new ones, and your input is so important.

LSCTS Policies
Please review our clinic policies before coming for your first visit. Our policies are in place to ensure best practices are followed for all of our clients and to ensure equal treatment of both our clients and our staff. If you have questions about any of our policies, please feel free to call our office to speak to an administrator.
In-Clinic Appointment Policies
- No additional children, including siblings, are allowed into the session with the client for either assessment, consultation, or treatment.
- No persons are allowed in the clinic treatment room without the supervision of the Therapist.
- Clients must remove shoes/boots in the waiting room before entering the clinic treatment room.
- No food or drink is permitted in therapy rooms. A water bottle is allowed.
- Please be quiet in the waiting area so as not to disturb sessions in progress.
- If your child has a new cough or one that has become worse, is short of breath, feverish, vomiting or has head lice, phone the clinic and/or email your therapist directly to reschedule the appointment.
- We would like to ensure this is a safe environment for all our clients. Please be assured we disinfect before and after every client. Due to possible allergies, please avoid strong perfumes and foods containing nut products while in the clinic.

Payment Policies
- Full payment must be received before releasing any written document and any ongoing treatment sessions needed.
- Previous sessions MUST be paid for BEFORE booking or attending pre-booked appointments. Future appointments will be cancelled if payment from a previous session has not been received.
- Late payment fee: a monthly 2% late payment fee will be added to each invoice that has not been paid.
- We accept Visa, MasterCard and Debit payments only. No personal cheques.
- We require a credit card on file for first appointments or 50% of the session cost.
Refund Policies
- LSCTS may provide refunds for services not rendered on a case-to-case basis. The refunded amount will be credited back by using the original payment method.
- Refunds that have not been collected within 1 year will be used as credit for future services.
Cancellations/No Show/Late Arrival Policies
- We must receive 24 hours’ notice prior to your scheduled appointment if a cancellation is required.
- Cancelled appointments with less than 24 hours’ notice will be charged 50% of the appointment fee.
- Missed appointments (“No Shows”) without a cancellation notice will be subject to the full session rate charge.
- If you are late for your appointment, your session will end at the designated end time and you will be charged for the full scheduled time. We make every effort to stay on schedule, so clients are not waiting.
Communication Policies
- Telephone consultations will be billed according to the time spent.
- No email consultations are allowed; we will discuss them at the next session.
- LSCTS will not provide letters of support for any separated/divorced parents that are going through legal proceedings.
Insurance Coverage Policy
The client is responsible for checking their own insurance coverage. We are not responsible for any communication between insurance companies as we do not directly bill.
Family Code of Conduct
Our Family Code of Conduct is a set of guidelines outlining the expectations of clients and visitors to Lyndsey Stevenato Children’s Therapy Services.
- Please respect the needs of other families and clients. Disruptive behavior and excessive noise are not acceptable. We ask that language is kept child friendly within the clinic – we will not tolerate the use of offensive language in the clinic, over the phone or within emails.
- Please take care of our clinic, equipment and furniture. These are meant to be shared.
- Please respect our allergy aware policy by not bringing nut products into our clinic or wearing strong smelling scents.
- Please supervise your children in the waiting rooms
- If either the administrative staff or the therapy staff ever feel harassed or intimidated (either in person, over the phone, or through email), we will discontinue service.
While we will make every effort to work with clients/families to continue service, failure to respect the code of conduct may result in suspension or refusal to serve.
